AVPMA chart of accounts

I am looking at using the AVPMA chart of accounts and was wondering if anyone else is using them or looking at using them. 

I am interested to know how you have setup OpenVPMS to work with the chart of accounts and whether you have any reports that you use. 

I was thinking of changing/expanding my product categories to match those in the chart of accounts. Then I could work out a report to show income by category for each amount banked. 

Any thoughts, comments or suggestions would be most appreciated,

Hi Matt,

This is exactly how I would implement i.e using product categories.

I think I would create two new lookups so you could isolate those categories that are specifically related to AVPMA accounts for sales and cost of sales.  One of each would be typically applied to a specific product.  I also think we could modify the product type to support these categories so if a product didn't stipulate an account the default from the product type could be used.

The two new lookups could be populated from a xml data file we create and implementers load using the dataload utility.

The last bit is a report by period that could export the cummulative sales and cost of sale accounts into a spreadsheet.  You could then link this to a summary spreadsheet where you could add all the other accounts that are tallied from different data sources ie. myob etc.

All this with no code required just two new archetypes, 1 data file, 1 archetype change and a report. :-)

Hi Tony,

Thanks for your suggestions. I have attached 2 new lookup archetypes and modified archetypes for meds, merchandise and product which will create 2 new catagories which must be selected for each product:

  1. The 'Income' account
  2. The 'Cost of Sales' account

I'll start working on the xml data file for the lookups now, but if you have any suggestions for further modification of the archetypes it would be most appreciated.

Forgive my ignorance, but where/how do you load these files so that the report will work?

Hi Amanda,

Firstly, don't use these on a live system yet. There are still potential issues. They should only be installed on a test/demo system at the moment.

That said, these are not reports, they are archetypes. They can be uploaded to openvpms through admin>archetypes>import. When they are uploaded they create 2 new lookups which can be manually added through the admin>lookups workspace or can be loaded in bulk through a script from an xml file.

This is not really in the domain of a practice user but more a task to be undertaken by an implementor.

A report is still needed to work with the data that will be linked to these new lookups.

I already found a few issues with these archetypes and uploaded new versions and the xml file to the shared resources last night: AVPMA Chart of Accounts

I am planning to have it ready to go live by June so I can start using the chart of accounts in full next financial year. To the best of my knowledge the archetypes and xml file are ready to go and now I just need to figure out the reports I will need.

Hi Adrian,

I have basically abandoned this idea. It created too many complications in reporting. What I have done is to give each product a product type which I have setup using the chart of accounts income catagories. 

I have just uploaded a report which can seperate out sales over a given period by product type. I am using this to get my sales figures and using my accounting software and reports from the Lyppard website for the expenses.
