Searching Appointments

We would like to be able to search for appointments.

This would help us when we have clients ringing wondering when their next appt is and when we wan't to find out when a particular client is next coming in.

Would any other clinics find this a valuable addition?

I think that this would be very valuable. Bit of a time waster at the moment, esp if client cannot remember the day that they are booked on.

Where would users like to be able to do the search from ?

Customer workspaces or just the workflow scheduling workspace or both ?

When you find a appointment would you want to be able to navigate directly to the associated schedule date or just select the customer ?

searching for appointments

Hi All

This would be a valuable option. It would be nice to be able to search from several different locations and in different ways. 1. From the client screen, to search for and then move to the next scheduled appointment, and 2. in the workflow scheduler. An alternate way would be to provide a tab or page in the customer workspace which lists past, current and future appointments. Then at a click, you could be taken to any on the list. This would be particularily useful in changing future appointments but also could help with issues like "who was working the day I last saw Doggo Smith?". This can currently be done manually by looking up the date in the animals history but a list would be quicker.

In the past we have had an icon available on the client page that was highlighted when any appointments were booked in the future. 

We were also able to be linked to the scheduler from that icon if an appt was booked.

Maybe to cover Jon's query above, we could see all appts here, past & future with a link to the scheduler?

Somewhere linked into the customer panel, so that we are notified if they have appointments for other patients - on the summary panel would be good. Even if it was an alert box like the reminders on the patient panel; could have a date, time, patient and reason column?

Hi guys,

I've been a bit quiet lately. My apologies.

It occurs to me we could summarise the above requests into the following list with some additions of my own.

Points for further clarification in italics

 

1. The Customer workspace

1.1 A new tab that contains a list of appointments for any patients with a current patient-customer relationship.

- Current data required: Date, Time, Patient and Reason

1.2 Filtering

- This tab would contain a list that could be filtered by status (pending/in progress/complete). Default would be Pending (this would pick up future appts)

- Alternatively (or inclusively) we could filter by date. (Future/Past). Indicate which you guys would prefer; status filtering or date filtering or both.

1.3 Jump to schedule linking

- Have the appointment listed in 1.1 linked so that the user can click on it, and it will jump to that schedule and that date.

1.4 Edit appointment capacity

- Allow the appointment date/time to be edited via the standard edit appointment dialog via clicking on it or adjacent button without having to enter the schedule/w.

 

2. Notification within the customer summary or somewhere within the customer workspace that a future appointment exists for a patient linked to this customer.

Note: This might have performance implications. Asking the system to search for all appointments for all patients linked to a customer could be quite intensive.

Can you guys describe a circumstance in which you might need this notification if the tab described existed.

 

Q. Do you want an equivalent tab in the patient workspace limited to the patient in question or is this unnecceasry duplication?

Thanks for your input here!

Do you envisage the new 'tab' in the customer workspace would be tab #8 alongside Patient, Contacts, Identities etc?

Filtering by status would be great, being able to jump to the scheduler via a link would be great.

We would always navigate to the scheduler to book an appt so we would probably not use the edit function but other clinics may find this useful. 

As far as notification goes, as long as we have a way of seeing if a client has any future appts booked we would be satisfied and it appears that you have covered that with the tab suggestion in point one. Having a visual link from the front page of a client file was just what we were used to. 

If all patient appts were able to be located in the client workspace I would be happy not to have the duplication in the patient workspace. How do vets feel about having to move from the patient workspace to the client workspace during consults to check appts or would this be a rare occurrence?

Hi Sandra,

Yeah alongside Patints, Contacts etc is exactly where I thought it could go.

As most times when making an appointment/revisit the receiptionist/nurse is in customer anyway I thought having the future appointments in there would be enuf too.

 

This topic will be moving to the new Active Development area soon and a deadline for submissions will be set.

Hi everyone,

So the Appointment Search feature has been adequately discussed (it has been quite popular judging by the forums), and a JIRA has been created (http://jira.openvpms.org/jira/browse/OVPMS-869) and the time required has been provided (12 hours).

 

12 hours @ $75/hr = $900

 

To get to the next stage we need pledges to fund this development. Please email me (mpcosta@boroniavet.com.au) with the maximum contribution you are willing to make either a percentage or as a $ amount.

Development will not commence until the project is fully funded.

 

I will make posts to this topic notifying the community as to how far along we are in funding the project.

Hi All,

I thought I'd piggyback on Matt's post on the issue of funding these
projects to remind you that Bayer have kindly offered to allow clinics
to use their points to fund Jira projects. We have also just had
confirmation that Fort Dodge are happy for their Win dollars to be used
for annual subscriptions as well as Jira project funding. OpenVPMS
items will be appearing in their online catalogue soon. Coupled with
the ongoing support from our founding sponsors Novartis, Lyppard and
Gribbles these companies are illustrating just how supportive our
industry partners are of the OpenVPMS project.

So, if you have a few spare points why not allocate them towards making
your software work better for you as well as your colleagues?

Apologies - Appointment searching is not ready for funding yet

My apologies everyone. Appointment searching by Customer/Patient is not quite ready for requests for funding. It is still "Under Discussion".

The previous post "Appointment Searching:Requests for funding" and the JIRA number within it, actually referred to the Recent Customer list (which will have its request for funding posted immediately after this post).

 

My apologies.

 

Appointment searching is quite well discussed however. If anyone is interested in contributing to the current draft details of the feature please do so. I will pass the details on to the developers for JIRA creation at the end of next week so we can get to the point of "Seeking Funding"

Thank you everyone who has contributed to the "Appointment Searching" development project. The following draft of requirements will go to the developers for costing and review.
