Stocktake

Does anyone know of an easier way to input stocktake data? I understand that we enter stock quantities for EVERY item under the stock location tab in the Products Module. What a job!!! This means thousands of entries and our practice has 5 locations. When we were operating with RX Works it was still a huge job but I used an Excel spreadsheet that i entered all the details for each item and clinic onto. I then uploaded this to update all stock levels and print off a financial report. I'm sure that the programmers could produce something similar to be used in OpenVPMS but it would obviously need to be funded. Would this be helpful for anyone else too, or is there a better way?

Hi Caz,

There is a better approach for entry of stock values and that is in the Products ->Stock Management workspace. Here you can do adjustments and transfers. If you add a New Stock Adjustment you can enter multiple products at the same time in an line by line manner and it shows you the current quantity and allows you to enter the new quantity. I think this is a quicker data entry process.

I agree it would be good to have an even faster approach and would be happy to hear the various ideas out there. Exporting and Importing a spreadsheet is an option but I think a Workspace that provides a very similar look and feel but without the data integrity issues inherent in this approach would be a better option.

Stock Adjustment

I have just started using this area pre stocktake to test it out and you say Tony that in stock adjustment you just enter the new level. From what I can see in my trial is that if you just enter the new level the result is wrong. It seems you have to add the difference in levels - ie if the real value of DrugA is 5 but the level says -5 you have enter the level as 10 otherwise the -5 is discounted off. Similarily if the real level is 5 but the level says 2 you would enter 3 which is then added to the 2 to make the real level 5.

Please let me know if I have this wrong

As it is a stock adjustment you definitely need to adjust by the difference between the current and real values ...

Stocktake

Hi all,

What would be nice would be the option in Products -> Stock management  of perhaps:

- rather than you generating the list of new stock to be adjusted, which is  slow and  time consuming, ( ie new, Stock adjustment, add, first few letters of stock item, enter, click on item you want, then ALT A to add to list, change the numbers, repeat  from first few letters of the next item.... etc etc) we have the ability to list everything ( if you want) or part thereof with the item name ( first column) number in stock( second column) and then counted item ( third column) This last column is alterable and when completed updates the stock numbers.

 

It would be nice to print out a list, get the numbers on the shelves and then enter, complete and all done!

Hi,

I agree it would be great to have a better data entry process. Maybe as someone has suggested, download a spreadsheet with the item id, name and current quantities for a specific stock location, enter values into the spreadsheet and upload and software will create stock adjustment entry for you which you can check and finalise ?

BTW You can use the Stock Take Lists report in the shared resources area to print out lists.

stocktake

 

I think barcoding all stock would be great and being able to do a stocktake by scanning items then uploading these figures into a report that would update stock levels, and produce a valuation report.

 

Can anyone please tell me how to run a valuation report after stock levels have been updated?

Stocktake

Hi everyone,

I like your idea Caz of linking products with barcodes (possible to do already using the existing Product setup).  We did our stocktake using a barcode scanner this year. With the assistance of our wholesaler (Lyppards) we could get a valuation very simply. However all this happens outside of OpenVPMS. It would be nice to "synch" the stock levels with those stored in OpenVPMS.

 

I wonder if such functionality wouldn't end up being related to this type of development (wholesaler automation).

Stocktake

Hi Guys,

I have completed the initial release of the requested stock valuation report and placed it in the shared resources area for anyone to download.

It groups stock valuation details by location and provides filters for product name, type, stock location and whether to include medciations and/or merchandise products. 

I am sure there will be requested modifications but hopefully it is a good start :-)
